These go at the top of every book and report, so you type them only once. You can change them later in Settings.
Each partner's name and their share of profit, as in the partnership agreement: 2 and 1 means the first gets two thirds and the second one third. Interest on capital, salaries and interest on drawings can be added in Settings.
Most small businesses in Ghana use January to December. Ask your accountant if you are not sure.
Usually today, or the first day of this month. You will be asked next what the business already had on that day.
A removed entry stops counting in every book, but it is kept in the list of removed entries so your accountant can see what was changed. You can put it back.
Made from your entries. You never write in these: every entry goes into the right ones by itself.
Worked out from everything you have written. Your accountant checks them, makes the year-end adjustments, and signs them. They are not audited accounts.
Anyone who buys on credit, or sells to you on credit. Each has their own account, so you always know who owes what.
Goods you bought to sell are counted as an expense when you buy them. To work out your true profit, the accounts need what the goods still on your shelves were worth — at what you paid for them, not what you will sell them for. Count your stock on the last day of your business year, and whenever your accountant asks.
List what is on the shelves (best), or type the total value only.
Worked out from the list above. Type here only if you have no list.
Choose the period your accountant needs (usually the business year just ended).
Each opens in Excel or Google Sheets. All entries as a journal is the one most accounting programs can bring in.
The accountant's pack: the trial balance, the draft final accounts, the debtors and creditors lists, the cash book, the day books, the journal and every ledger account, one after another.
Write what the business owned and owed on the first day, so the books start from the truth. Leave a box empty if it is nothing. A new business starting from nothing can skip this and use "I put my own money into the business" instead.
When a subscription ends, nothing is lost: every entry, book and report stays, and you can still print, send and back them up. Only new entries wait until it is renewed.
Used for your receipt and for reaching you about your subscription — nothing else. Your business's records are never sent anywhere.
Paid online? You can also paste the payment number from your receipt email here.
Type the code you were given. It needs internet once, and then works offline.
Your payment is checked on our own server, and what you buy is signed so that it cannot be copied from one phone to another. Your records stay on this phone either way.
By subscribing you agree to our terms and conditions. See also our privacy notice.
How the partners share the profit. The app uses this to work out the appropriation account and each partner's current account. Copy it from your partnership agreement, or ask your accountant.
A change counts for every period, past ones too, because the app works the sharing out afresh each time. Change it only when the agreement changes, and tell your accountant, who may need to adjust earlier years. A partner who has entries cannot be taken off.
Leave this off unless the business is registered with the Ghana Revenue Authority for VAT. When it is on, sales, purchases and expenses ask how much of the amount was VAT and levies.
The app has no rate built in, because rates change. Type the one your accountant gives you; the app uses it only to suggest the VAT part of an amount, which you can always change.
Cash, mobile money and one bank account are here already. Add another if the business has a second bank account or wallet.
The app has the usual headings for expenses, income and equipment. Add one of your own if none fits (for example "Sewing thread" or "Generator fuel").
When your accountant has finished a year, close the books up to its last day. Nothing on or before that date can then be added, changed or removed by mistake.
This phone is the only place your records are kept. Save a backup file often and send it to yourself by email or WhatsApp — then a lost, stolen or broken phone costs you nothing.
New phone, or records lost? Choose the backup file. Nothing already here is wiped: entries are added and the newer copy of each is kept.
Added to the home screen it opens like any other app and still works with no internet.
On an iPhone: open this page in Safari, tap Share (the square with an arrow), then Add to Home Screen.
Do this before you start, if you can. On an iPhone the home-screen copy keeps its own records, separate from Safari's. If you have entries already: save a backup, add the icon, open it, and restore the backup there. Then use only the icon.
On an Android phone: open this page in Chrome, tap the ⋮ menu, then Install app or Add to Home screen.
With a password set, the app asks for it when it opens, after it has been left for a few minutes, and before any saved record is changed or removed, the books are opened again, a backup is brought in or a business is erased.
For a shop assistant or family member who writes sales and expenses for you. With the helper's password they can open the app and add new entries, and see the books. They cannot change or remove anything already saved, open Settings, send files to the accountant, or write year-end entries: those ask for your password. Entries they write are marked "by helper".
Wipes this business's records from this phone, for good. There is no undo — save a backup first.
Your email address. The receipt goes there, and nothing else is sent to it.
